Sierra Bible Camp Board Meeting Minutes

September 6, 2006

 

 

Board Members Present: Walter Evans, Jack Ferguson, Ray Lawson, Mike Vincelli,

     Mike Truitt, Paul Covey, Mark Kiser, Doug Hamilton

Board Members Absent: Larry McCollum, Jay Pitts, Dave Evans

 

I.                    Opening Prayer was led by Steve Vawter at 10:12

II.                 Input from Camp Directors

1.                  Walt gave a report on the camp enrollment. There was one camp that only had 25 people. The following are some of the comments that were noted.

a.                   Mark Kiser, A short camp is better than no camp, should never turn a camper away.

b.                  Steve Vawter, What makes the camp interesting? Promoting the camp.

c.                   Darrell Hirschi, Aren’t congregations responsible to pay the camp costs? Need to reach out to other congregations.

d.                  Paul Covey, Camp operates as a business, should pay as a business.

e.                   Walt Evans, We were subsidizing camps, we are no longer doing this.

f.                    Mike Truitt, Is the cost of camp the reason for declining enrollment? Walt says no.

g.                   Mike Vincelli, we are competing with sport camps.

h.                   Ray Lawson, Faith problem, priorities, suggestion, do away with the rotation, remove Fairfield from the rotation, they need to take the family camp elsewhere.

i.                     Ron Bates, We are losing campers with the rotation.

2.                  Caretaker performance comments,

a.                   Paul Covey, good job, staff was happy

b.                  Darrell Hirschi, Citrus Heights several problems, not helping, no supplies

c.                   Mike Vincelli, Palo Cedro, had small problems, responsibilities for bathrooms, saw little of him.

3.                  Pool Project, Walt reported that contractors keep canceling.

4.                  A supply list should be sent out to camps. There should be a set amount for each camp. Paper napkins, the camp should supply them.

5.                  Level the baseball field, get rid of the holes. The field needs a lot of attention. Mark Kiser will get information on Alta Tall Fescue.

6.                  Ron Bates notes that we need to have definite camp dates earlier than December.

III.       Jack Ferguson read the minutes of the April meeting.

The minutes are accepted as read.

IV.       Treasurer’s Report: There is no treasurer’s report, as Jay has been very sick, will have it at our December meeting.

V.        Discussion of Old Business:

1.                  Paul Covey asked about the trash compactor, we decided at the April meeting that we would not get a trash compactor.

2.                  Paul also asked about a separate fund for the pool project. His comments are that if funds are set for a project that they should be used for that project.

3.                  Paul also asked about the purchasing of three large barbecues for the camp. Mike told us the guy had backed out of the deal. Steve Vawter mentioned that charcoal is better than gas.

4.                  Rosazetta Jacobs asked about the land exchange option for the camp. Walt gave an update. In this exchange we would be competing with the world. Lois Charlton advised us not to pursue this. We are in a desirable location at the camp.

5.                  Walt talked of some cabin damage, and that no stumps have been ground out.

6.                  The RV parking at the camp has been completed.

7.                  Mike Vincelli brought up that we should send Norried’s Painting a thank you letter. Misha Evans will send one to them.

8.                  Gary washed and painted all of the girl’s cabins.

9.                  Paul Covey asked about mattress covers for the new mattresses. Walt told us that it is no longer a requirement that we have them. We have a new health inspector for the camp. Judy Bates made a comment that new inspectors bring different ideas. The only thing that they seemed concerned about were:

a.                   Underground fuel storage tanks

b.                  The kitchen

c.                   The pool

d.                  The water

We do need to put vacuum breakers on the hoses at the kitchen sinks.

10.              Evaluation of 2007 camp schedule brought forth a lot of discussion. After all of the discussion it was decided to offer Fairfield, Week A, Week B, or Week 9 at one-third the price of the regular camp cost. We would also eliminate the rotation schedule. Doug made a motion to set the schedule and Ray seconded the motion. There are no objections to this motion. The schedule is as follows:

Week B

VI.       New Business.

1.                  As the new business part of the meeting started Paul Covey resigned as a member of the Board of Sierra Bible Camp.

2.         Nominations were opened for positions 1, 3, 9, and 10. The nominees were:

a.       Mike Vincelli, 14 votes

b.      Mike Truitt, 14 votes

c.       Brian Mimms, 5 votes

d.      Jack Ferguson, 11 votes

e.       Misha Evans, 4 votes

f.        Keith Alton, 8 votes

                        Position 1 filled by Mike Vincelli

                        Position 3 filled by Mike Truitt

                        Position 9 filled by Jack Ferguson

                        Position 10 filled by Keith Alton

                        Brian Mimms was selected to fill the remaining term vacated by Paul Covey.

            3.         Nominations were opened for Officers of the Board

                        President, Walt Evans

                        Vice President, Mike Truitt

                        Treasurer, Mike Vincelli

                        Secretary, Jack Ferguson

                        All were voted in as unopposed.

4.                  Walt is hoping that Wayne Moulter will winterize the new fire pump.

5.                  Doug Hamilton agreed to be the Closing Weekend Supervisor, which will be October 6, 7, and 8, 2006.

6.                  Walt read a list of items that the caretaker feels needs to be done. The items are as follows.

a.                   Run electric to C1 and C2

b.                  Leach field for kitchen , add 24” dirt/sand and seed in special grass

c.                   Replace gas valve with a PVC ball valve (main water stop)

d.                  Repair the fire main pipe behind the dining hall

e.                   Repair the cabin windows

f.                    Repair the dishwasher, pump, and wand pivots

g.                   Repair the caretakers cabin roof

h.                   Repair benches outside and sand corners and refinish dining room benches

i.                     The ball field needs HELP

j.                    Install a handicap toilet in the girl’s bathroom

k.                  Stabilize the handicap handrail on girl’s cabin 6 and handrail on cabin 3

l.                     Install new linoleum or carpet in the living room of the caretakers cabin

m.                 Need a tractor with a blade and bucket to fill holes and ruts and help in other tasks

n.                   Stabilize the lifeguard stand

o.                  Misha Evans will send a thank you card to Doug Lindstroum for repairing the electric panel that had electrical problems.

7.                  Mike Vincelli purchased a new gas valve for the Blodgett oven

8.                  Walt received tentative approval from the USFS to remove the tree to expand the boy’s bath/shower house. Roy Cates will help with the floor when we do it. Will post this project on our website for funds.

9.                  The dining room floor is still going to be painted in October. Walt and Roy Cates are planning to do it.

10.              Mike Vincelli updated on the spring water contamination problem. Believes that the problem is in the tank area and quite possibly a compression gasket problem. Also mentioned that we must put netting or seals on our spring source.

11.              We need to clean up the area by the caretaker’s cabin.

 

VII.      Open Discussion.

1.                  Joy Swift would like to see campers take a quarter a week from savings and put it towards the camp.

2.                  Misha Evans would like to see a concrete picnic table in the cabin areas.

3.                  Mike Vincelli noted that someone left a Craftsman tool kit in the kitchen.

4.                  Rosazetta Jacobs thanked the Board for the new cutting boards.

VIII      Special Meeting

At this time the meeting was closed and we had discussions on the caretakers performance this past summer and recommendations for this coming year.
